The challenge?  Logistics! With employees travelling from afar, ensuring everyone had a safe and comfortable journey (and a place to rest their weary heads) was paramount.

Setting the Scene: Farnham Castle & The XFest Vibe

Our first mission? Finding the perfect venue. Enter Farnham Castle: a stunning backdrop that oozed “summer festival vibes.” Lush greenery, ample outdoor space – it was a match made in party heaven! To complement this fantastic location, we suggested the XFest theme, a chance for everyone to let loose and embrace their inner festival spirit.

Solving the Logistics Puzzle

Now, let’s talk about those travel and accommodation hurdles. We took the reins, arranging 126 hotel rooms for out-of-town guests and coordinating coaches, minibuses and 19 taxis to whisk everyone home safely after the party (sharing is caring, after all!). This meant peace of mind for the client and a stress-free journey for their team.

XFest Festivities: Let the Fun Begin!

But XFest wasn’t just about logistics (although that’s pretty darn important!). We created a day jam-packed with festival fun! Guests were greeted by fantastical stilt walkers, setting the mood for an extraordinary experience. Upon arrival, what better way to cool down than with refreshing strawberry sangria cocktails?

As the afternoon unfolded, a talented wandering band kept the party atmosphere alive during the drinks reception. Feeling a little sparkly? Our glitter artist was on hand to add some festival flair.

The venue itself was transformed with festival flags and bunting, creating a truly immersive experience. We even had a custom “XFest” light-up sign – perfect for those all-important Instagram snaps!

Capturing the Memories

Memories are precious, so we ensured every moment was captured. A photographer, drone operator, and videographer documented the day’s festivities, creating a lasting record of the summer fun. This way, new starters joining the company can get a taste of the XFest magic! ✨

Entertainment Extravaganza!

As the sun began to set, the party truly kicked into high gear. We transformed the outdoor space with an AV setup, complete with a stage, tent, and uplighters bathed in the client’s brand colours.

To keep the energy levels high, we provided a selection of garden games – think giant Jenga, connect four, and maybe even a hula hooping competition or two!

But wait, there’s more! To satisfy those late-night sugar cravings, we brought in a doughnut tricycle – talk about a sweet ending!

And the grand finale? A rocking Super Troopers tribute band followed by a silent disco, allowing everyone to dance the night away under the stars.
