When Business Meets Festival Fun: XFest 2025

After a long day of back-to-back meetings at Infosec Europe, what does every cybersecurity professional need? A cold drink, a sunny terrace and great company! That’s exactly what Summer Cyberfest is all about, and once again, the Eventify team was thrilled to bring it to life.

In this case study, we’re taking you behind the scenes of our cybersecurity client’s annual summer networking event. Think rooftop DJ sets, fresh sourdough pizzas, a 360 photobooth and over 450 guests having a brilliant time. Let’s dive in!

Why Eventify Were Called: A Trusted Partner, Year After Year

Summer Cyberfest is an annual fixture, and it’s one our team looks forward to every single year. Our client already knew we could handle every moving part of a large-scale networking event, from venue finding and branding to registration and on-the-day delivery.

After previously hosting Cyberfest at Between The Bridges, the client turned to us to find a new venue that would keep the Cyberfest magic alive (and then some!).

The Brief: High-End, Laid-Back and Ready for Anything

Cyberfest takes place straight after Infosec Europe at ExCeL London, one of the biggest dates in the cybersecurity calendar. So the brief was clear. The venue needed to be:

• Easy to reach from ExCeL, so guests could head straight over after the show
• Informal but high-end: relaxed enough to unwind, polished enough to impress
• Blessed with outdoor space to make the most of those summer vibes
• Big enough for 400–500 guests, with enough indoor capacity to bring everyone inside if the British weather had other ideas!

The Challenge: Cracking the Venue Code

Finding a venue that ticks every box is a bit like cracking a password: every character needs to be in exactly the right place!

Location was the top priority. Guests would be arriving after a full day at ExCeL, so the venue had to be easy to travel to. Nobody wants a long trek across London between a trade show and a well-earned cocktail!

Then there was the outdoor-meets-indoor puzzle. Plenty of venues have gorgeous terraces, but far fewer can also fit up to 500 guests comfortably inside when the heavens open. Add that high-end-but-informal atmosphere into the mix, and the shortlist gets very short, very quickly. This is where our free venue-finding service really comes into its own.

The Event Itself: Welcome to Oasis Bar & Terrace

We put together a venue-finding proposal with five fantastic options, including Oasis Bar & Terrace. The client shortlisted Oasis and one other venue for site visits, and once they’d seen it in person, the decision was made! With Oasis secured, we set to work bringing the event to life with branding and entertainment.

How the Day Unfolded

• 8am: Our team arrived to start the set-up, transforming the venue with client and sponsor branding
• Midday: The client’s team joined us, using the space for co-working and last-minute prep before their customers arrived
• 3pm: Doors open! Guests were welcomed with registration and badging, then straight into cocktails, background music and plenty of networking
• 4pm: First food service
• 6pm: Second food service
• After food: The DJ took over the rooftop, and the party carried on right until the end of the event

Food, Fun and a Rooftop Party

The menu was all about delicious, crowd-pleasing food that guests could enjoy while they mingled. Think fresh sourdough pizzas, generous grazing boards and pub-grub style canapés: the perfect fuel after a long day on the show floor.

To keep the fun flowing, a 360 photobooth gave guests the chance to capture the moment (and grab some great content for their socials!). Once the food was done, our rooftop DJ turned up the energy and created a proper party atmosphere until the very last song.

Notable Hurdles: Keeping the Buzz Alive

Every great event has a few hurdles to clear, and Cyberfest was no exception. Here’s how we tackled them.

Planning for the weather. With outdoor space at the heart of the brief, we made sure Oasis had the indoor capacity to welcome every guest if the weather turned. A solid plan B means everyone can relax and soak up the sunshine while it lasts!

Making every sponsor shine. Branding for the client and their event sponsors is a big deal at Cyberfest. Every brand needed to be front and centre, creating a bright, impactful space that did justice to everyone involved.

Energising guests after a long day. Guests arrive at Cyberfest after hours of meetings, so the event needed a real buzz from the moment they walked in. Welcome cocktails, two food services and a rooftop DJ kept the energy building all evening long.

The Results: The Best Cyberfest Yet!

Over 450 guests came through the door, and the feedback was nothing short of incredible. Partners, vendors and the client’s own team were all saying the same thing: this was the best Cyberfest yet!
